Job Description:As the Executive Administrative Assistant at RTI, you will be the linchpin that ensures smooth operations for the Executive Director and the leadership team. Your responsibilities will encompass a diverse range of tasks, including managing calendars, conducting research, maintaining data in Excel, coordinating events, maintaining social media and websites, act as a office manager of sorts, and providing general administrative support. Your efforts will directly contribute to our mission of fostering independent living for individuals with disabilities.

 Duties and Responsibilities:

  1. Managing calendars and scheduling appointments: You will be responsible for managing appointments, trainings, team meetings, interviews, etc. for the Executive Director and other members of the leadership team and ensuring that appointments are not double-booked.
  2. Managing correspondence: You will be responsible for screening emails and phone calls, responding to routine inquiries, and drafting and sending correspondence on behalf of the Executive Director.
  3. Conducting research and preparing reports: You will be required to conduct research and prepare reports for the Executive Director, including gathering and analyzing data, summarizing findings, and making recommendations. You must be proficient in using Excel, spreadsheets, and other tools to develop and track data.
  4. Coordinating events and meetings: You will be responsible for coordinating events and meetings, including booking venues, arranging catering, and preparing meeting materials for the Executive Director and other members of the leadership team. You must be proficient in using tools like Doodle polls to schedule meetings and events.
  5. Providing general administrative support: This includes managing files and records, ordering office supplies, and performing other administrative tasks as needed.
  6. Serving as a liaison: You will be responsible for serving as a liaison between the Executive Director and other staff members, clients, and external partners.
  7. Maintaining strict confidentiality: You must maintain confidentiality regarding sensitive information, such as financial data, personnel records, and business strategies.
  8. Assisting with fundraising and development activities: You may be required to assist with fundraising and development activities, including preparing letters of support and letter of intent, assist with organizing fundraising events, maintaining donor records and correspondences.
  9. Taking minutes during meetings. 
  10. Assist with quarterly newsletter, manage email accounts for email marketing platforms.  
  11. Supervising other administrative staff: In some cases, you may be responsible for supervising other administrative staff members.
  12. Maintaining social media and website: You will be responsible for updating and maintaining RTI’s social media accounts and website communications. You must be proficient in using tools like Google documents and spreadsheets and have experience managing social media accounts and websites.

Work schedule is usually during business hours but occasionally requires flexibility and is dependent on program needs. Work is typically performed in an office environmentally controlled setting, frequent computer and telephone use and sitting for long periods of time. The position requires traveling in the service area and working flexible hours and occasionally working weekends and evenings.
