Short Description: The Administrative Assistant is responsible for answering phones and providing assistance to for walk-ins, performing general office support for staff, maintain records, and maintaining our Loan Bank program.

Salary: Based on experience (Range $14 to $17 an hour) with 8% Retirement Benefits, Health Insurance, Dental, Health Savings Account, and other Benefits (for those that are employed at 30 hours and above). Job Description:The Administrative Assistant is responsible for answering phones and providing assistance to for walk-ins, performing general office support for staff, maintain records, and maintaining our Loan Bank program.
 
Principal Duties and Responsibilities:
 
  • Answers phones and respond to requests for information, takes messages.

  • Front line assistance for walk in consumers, evaluation of consumers’ needs, make recommendations or redirect to proper staff.

  • Perform multifaceted general office support and day to day operational matters.

  • Assist with and coordinate between programs.

  • Assist with development and institute methods for accuracy and quality control.

  • Receive incoming correspondence, fax, and mail. Complete daily mail log and distribute to appropriate staff.

  • Data base corrections and maintenance.

  • Maintain company calendar including board room reservations.

  • Assist with office inventory and supplies.

  • Maintain office equipment or coordinate repair.

  • Maintain the cleanliness of the front of the office and common areas or coordinate with the appropriate staff.

  • Ethically and professionally complete and maintain, in compliance, confidential consumer service records and information.

  • Assist staff during center activities.

  • Assist with medical equipment and Assistive Technology Coordinator with intake and assessment, equipment distribution, inventory, paperwork, CILSuite data processing, and annual reporting.

  • Donations management and paperwork processing.

  • Assist with scheduling transportation services.

  • Assist with website maintenance.

  • Train, coordinate, supervise, and develop skills with volunteers.

  • Assist with or manage special projects.

  • Assemble sensitive information, record keeping and paper flow.

  • Systems advocacy and participation in legislative events.

  • Participate in public awareness activities including disability awareness events, presentations and community outreach.

  • Assist in resource development and distribution.

  • Assist with staff meetings, guest speaker, and training schedule.

Minimum Qualifications:

  • High School Diploma or GED
  • Good computer knowledge, writing skills, typing skills and communication skills.
  • Must have an acceptable criminal background check.
  • Must be able to assist individuals lift or move equipment 25 pounds (i.e. wheelchairs, shower chairs, walkers, canes, crutches, etc.) some accommodations can be made to assist with this.

Preferred Experience and Assets:

  • Experience or willingness and ability to learn duties unique to an office dedicated to those with disabilities and unique program and grant funding implementation.
  • Ability to advocate on issues promoting independence of people with disabilities.
  • Knowledge of community resources.
  • Ability to build alliances within community networks.
  • Interact with consumers in a professional manner with respect for their rights while maintaining adherence to the independent living philosophy.
  • Knowledge of the Independent Living Movement, Americans with Disabilities Act, and other disability related laws and issues.
  • Reliable means of transportation to travel throughout Weber, Morgan, Davis, and Salt Lake Counties.
  • Ability to prioritize and organize diversified workload and interact with diversified consumers.
  • Teamwork and collaboration skills.
  • Interpersonal and communication skills.
  • Problem solving and productive.
  • Ability to meet deadlines and work with time sensitive projects.
  • Technical and data entry capacity.
